This site has been designed for members of the CIEH London Region to enhance communication between the centre and its members.

Any member that wishes to submit content to share with other member of the centre can do so by following a few simple guidelines.

A Website Content Sheet should be filled in and sent at the same time as any related files, such as a Word document to the Centre Coordinator:

The CIEH reserves the right to make small changes to content to ensure continuity in style, tone of voice, etc.

To help, here are some useful guidelines on style, content and layout.

Writing for the web

Writing for websites needs a different approach to writing for a printed document. Readers cannot digest as much information from text on a screen or read as fast because of computer screen resolution.

The writing style also needs to change as people looking at the site immediately want to know if the page they are looking at is relevant. Often people will scan the first sentence only, and if it holds no appeal, they will move on.

The structure of the text should also differ. A 'bottom down' approach should be used with the conclusion or summary at the top. This will help to attract attention and get the message across as eyes tire quicker reading screen rather than printed text.

Style

References to the CIEH

  • When using the Chartered Institute of Environmental Health name in written communications, the full name should be used in the first reference to the organisation. Subsequent references can be made to the Chartered Institute, but do not use 'the Institute'. Subsequent uses of CIEH should only be made if the first reference to the Chartered Institute of Environmental Health is followed by (CIEH).
  • When using the Chartered Institute of Environmental Health name within written external communications it should always be singular, not plural, unless referring to the corporate 'we', for example, "At the CIEH we are committed to maintaining, enhancing and improving public and environmental health."

Language and Style

  • Standard business English should be used, including open punctuation i.e. no indents at the beginning of paragraphs, no commas at the end of address lines and left justified text.

  • Tone of voice, language and style should be simple, straightforward and clear. Short sentences should be used to provide clarity of meaning.
  • Text for all documents must be in 12 point Arial.
  • When dating written communication, note that it should be '22 February 2003' and that "th" or "st" or "rd" are not used.
  • The grammar and spelling checks on all software packages should be used before submitting any content. UK English should be the default setting.

Bullet Points

  • Bullet points should all be consistent: all the same size and style (round solid bullets). The grammar of the bullet points should be consistent throughout. If starting the bullet point with a capital then end with a full stop. If starting with a lowercase letter, then do not use a full stop at the end of each bullet point.

Abbreviations

  • Terms such as 'DEFRA', 'FSA' etc., should be written in full in the first instance with the abbreviation in brackets following the initial mention. Further mentions may then be in the abbreviated form. For example, "Results from the 2003 Food Safety Agency (FSA) bidding round have just been announced. The projects approved by the FSA were primarily food hygiene-related."
Numbers
  • For copy containing a number that is less than or equal to ten, the number should be written in full, for example, 'nine' rather than '9'. For numbers of eleven and higher, the number should be written in numerical form, for example, '13' rather than 'thirteen'.
  • Remember to mark which section the article is to appear in and please also provide a brief resume of the key purpose of the article in a maximum of 20 words. For example:
